This tutorial shows the reader how to view the status of an assigned contract in OCM. An assigned contract is any contract that has been accepted through the OCM submission portal and has been assigned to a Contract Analyst. This assigned contract can have many statuses and could represent a contract in the negotiation phase, or could be a complete and active contract.
From the Home Menu, click on OCM Contracts Portal, "View My Contracts"Finding "My Assigned Contracts"
Once you have logged in, look for the OCM Contracts Portal module--it has the blue bar. Click on "View My Contracts." This will take you to a searchable screen listing all contracts you have permissions to view.
Viewing all Contracts
You should now see a list of all OCM-managed contracts that you have permissions to view. To find a specific contract, type the VUMC# (the number part only) in the Meta Search field and click the "Search" button. That shoudl bring up the specific contract you're looking for. Click on the VUMC # link on the left most column to open the contract record.
General Information & Status
You'll see several tabs with some general info at the top. Outlined above are the Contract status (Active, Expired, Review, Pending, etc) and an Extended Status which gives you more detail.
If you click on the Versions/PDFs tab, you'll get a list of all the iterations of the agreement (the original contract, amendments, replacement contracts, along with years of funding, etc.) If the download link is available you can download the Fully Executed PDF of that iteration.
Status Tab
The status tab will provide the current status of the contract. In the example above, the contract is with the external party, or sponsor, for signature. If the contract has a defined end date, it will be listed here as well under Expiration Date.
Reference Tab
The reference tab will provide IRB and Center numbers if they are available and applicable to the specific type of contract. You will also be able to identify if funds are incoming to Vanderbilt or outgoing.
Financial Tab
Should you have global access granted by GCM to see all contracts in the system, you will have a "Financial" tab. This tab provides very general information on the total dollar amount of the contract over its lifetime as well as the current dollar value of the contract in the currently active version (e.g. if we just completed an amendment, the dollar value included in that amendment would be displayed).
