As of April 1, 2018, amendment and contract renewal requests must be submitted via PEER. After this date, OCM will no longer accept requests emailed to research.contracts@vanderbilt.edu or emailed directly to the contract analyst.
The process for submitting an amendment/renewal request is similar to submitting a new agreement, except that much less information is required for an amendment/renewal.
This policy change is for all requests under an existing contract number (aka “VUMC number”). For new projects (no existing VUMC number), you will continue to submit as a “new” contract request.
There are two ways you can start an amendment/renewal request:
1. You know your contract number (VUMC number).
From the contract request wizard, begin a new contract request. You will be taken to the
wizard first, just like you’re submitting a new contract project.
The first question asks if this is a renewal on an existing project or new:
After you click “Amendment or renewal on existing contract”, the next question will ask you for the VUMC number. You’ll key the number and then click submit. A request for renewal/amendment will be created.
2. You do not know the existing VUMC#
From this screen, search or browse records until you find the contract you need to renew/amend.
Click on the VUMC# to view the contract detail. If the agreement in Active or Expired status,
you’ll see a blue button to initiate an amendment/renewal request:
FAQ
Q: How will I make sure the same analyst gets assigned to my amendment/renewal?
A: PEER knows the assignment and will automatically give the amendment/renewal to the same analyst.
